Procurement and Business Services (PBS) announces two important updates:

New help email address

To better support your procurement and payment needs, PBS launched a new dedicated email address: pbshelp@auburn.edu. Use this for all general procurement and payment-related questions, including inquiries about PBS policies.

Update to Vendor Disclosure Statement (VDS) requirements

Effective immediately, a VDS is required for any contract or purchase exceeding $75,000. This update ensures compliance with state regulations and helps prevent processing delays.

Under Act 2001-955, a Disclosure Statement is now required for all contracts that meet or exceed $75,000. Here’s what’s new and important:

  •  Must be filed BEFORE the purchase — within a 30-day window
  •  Applies to Bids, Purchase Orders (POs) and PSCs
  •  Annual renewal required for multi-year contracts or follow-up purchases
  •  No notary required 
  •  Electronic forms and signatures accepted via Adobe Sign

·        The vendor will access the new electronic form via the PBS website.

·        The vendor can complete and submit the form via Adobe Sign.

·        The completed form will automatically route to the departmental contact that the vendor lists on the VDS form.

·        The departmental contact should upload the completed form to the applicable requisition in TigerBuy.

  • Publicly traded companies are exempt from completing the VDS
